Marketing prior to an event?

->> I am reaching out to get ideas of how to market a large event prior to the events first game, a youth hockey tournament. Large is relative but for me this is large. Details are

1. There will be approximately 80 teams ranging from 7-17 years old.
2. This will be a 7 day event with 90% of the games all played at the same single rink location. This will be the location of my view stations and display
3. I will have contact information for the teams prior, most likely just one.
4. I will have view stations going most of the time and orders can be placed via paper order forms with special pricing if ordered at the rink rather than on-line.

Item 3 is the key one and I want to use this to get the word out that I will be there, will accept pre orders/requests for team disk’s, framed prints, plaques, wall decal kits, etc.

Some teams that will be playing are very familiar with me and that will not be a problem but 60% will not know that I will even be there.

What have you done successfully to market prior to an event like this?

Any ideas, besides a flyer in PDF format, would be greatly appreciated?

->> Someone, somewhere has a large email list of all of these parents. Get together a promotional PDF and get it emailed out. Give them some kind of incentive to buy on site, maybe even a discount if they bring the flyer. If they are prepared to buy and have an incentive to buy when they get there.

It works for the dance studio whose recital I used to shoot.

->> It would be nice for you to be at the coaches meeting, but don't rely on a coach to pass out your info to the kids, If this is a competitive type competition, the coach may not want to distract his team by passing out your info--his/her focus will be to win the games. Been there, done that, any info you can get in the hands of the parents before hand the better, and also on site, maybe even as they enter the arena.

->> Jim, if this is a "travel team" tournament, the parent know someone will be taking pix, it happens at every tourney, every weekend. Make sure to get signage up at the other rink. We use a sandwich board with a bigger version of our two sided full color full page flyer.
If you want, call me today about "Team Mom" bags we put together. Tom is right about coaches, but you gotta get to the team Moms.

Sam the "Team Mom" is exactly who I hope is the contact that I am given. Coaches have other things on their minds and I don't think they have a coaches meeting, plus I want to start way before then, maybe 7-10 days prior.

My goal is to get pre-orders/requests and the word out that I offer framing and plaques, need to balance my inventory with the demand for a tourney this size.

Any other ideas?

It's not prior to the tournament, however... Talk to the event organizer and see if they are willing to announce, whatever you would like, on the PA system during the games. This has been a big help during a tournament that I have been doing for a couple of years now.

I agree this is done as well. I will have plenty of items on display to show my presence.

I am trying to do all I can prior as this is a Februray tourney and most teams already have been to many when it gets to this time of year. So my plan is to get what nobody else has and do what nobody else has to increase sales.

You have a Christmas tourney? I am free, a few days or any other let me know.
