| ->> To all the T&I photographers out there, I was wondering how do you handle no shows on picture day? I never had this problem before. From what I understand I had some teams that did not show up for picture day because their coaches did not let their teams know. I want to see what I could do to avoid such problems in the future. |

You can't avoid it no-shows. It's just part of the business. Basically you need to decide if it's worth it ($$$) to go back for additional time to shoot those teams.
We had 9 teams scheduled for Saturday and one of them was a complete no-show while another only had 3 of their 15 athletes show.
My decision is based on how much revenue I think I'll generate as well as my upcoming availability. In this case, I'm very busy for the next 4 weeks...so I've offered them the opportunity to come to a location next weekend where we are already shooting.
They probably won't take me up on that offer since I overheard parents asking why they had to come to me (ummmmm...because I'm busy and I can't afford to move next weeks 19 teams to accommodate your team).
Whatever you do, don't automatically schedule a "make-up/rain date" for the organizations because they take that to mean that the first date is optional. We schedule make-ups/rain dates on a case by case basis and they are typically shot during the week.

->> No-shows are inevitable. Usually, the older groups don't show for a variety of reasons including... too old for photos and involved in other sports/travel sports.
It helps when the league adds incentives to attend. Some attach it to opening day festivities, award ceremonies, fund raiser outtings, etc.
You'll only be able to tell how the league supports photo day after you have done it for the first time. If it gets to the point where it's not worth it anymore, you move on and look for other leagues instead. |

->> Kids get sick ... kids can't be two places at the same time ... parents forget it is photo day ... coaches forget to tell the kids and parents when photo day is ... T&I is just like any other business and you have to decide how lenient you want to be in working in returning to the league to pick up the strays ... if it is only one or two kids who "forgot" ... maybe not ... but you may not want to risk losing a league by blowing off multiple teams, even though it wasn't your fault they were no-shows on photo day ... showing some willingness to work with them can go a long way in keeping the contract ... but you also don't want to end up being taken advantage of either ...
For larger leagues where the numbers are significant I schedule in a "make up" day for individuals and teams that could not make it for the original shoot ... like others have said, if the revenues are there it is worth it. I never divulge the date and time of the make up shoot until the day of the original shoot ... that way as many as possible show up the first time around ... quite often this is the day I deliver the first order ... I'm going to be here anyway ... may as well pick up a few sales as well for those who could not make it earlier ... |

no shows are par for the course if you do a "photo Day". Team no shows and 5 kids of a 12 kid team no shows. Who wants a package with a team photo of 5 kids out of a 13 player baseball team???
I work with a handfull of leagues 8-10, and we don't have a photo day. The leagues I work , that is the last thing they want on opening. far too much going on, parade etc.
I schedule mine ALL on when the teams play/practice. yup more times to the field/rink etc BUT never a no show and 99% of the kids are there and a very high level of orders.
Keep in mind I don't drive more than 2 miles for all my leagues.
I make the schedule and e-mail it to the coaches and parents... then shoot action and e-mail the link to the parents... works well

| ->> Mark, if you are rebating to the league, just offer rebates on the teams that show up for photo day. If you have to reshed a couple of teams, then do not rebate on those teams, since you just about doubled your travel and labour costs. The league will press the issue with the coaches. Money talks. |

Just curious. I mean, I know what T&A stands for, but this one throws me for a loop.

| ->> It's not a dumb question at all. It stands for team and individual. That is, the photographer makes a photo of the whole team and then makes photos of each player, the individual. Sometimes the photos are printed together--a memory mate--on the same 8x10 page with a 5x7 of the team and a wallet-sized photo of the individual. |
