Booking multiple on-site events with on-site ordering.

->> Myself and and a group of veteran pros have banded together and have started approaching large event organizers as a 'team' for on-site photo services.
We are getting a little traction now and we have to look at putting together a work flow and system for on-stite ordering. Athletes will mostly be shot by 'reservation' so we know that orders will be made on-site.
We are looking at 2 canopies for outdoors and 4-5 order stations. The events are all tournament related around gymnastics, equestrian, soccer and little league--all club type sports that have done well on spec in the past. This is a whole new level of service and creds we are approaching these folks with, and it seems to resonate with the orgs.
We plan to shoot, xfer to a tech for upload to 'xx' platform for 'xx' clients to order on site.
So, I am hitting the well of knowledge here for a workable solution to the on-site ordering portion.
If this is an old topic, then a direction to past threads is welcome also. |

From the sounds of your post you already have "orders" prior to the event, I assume this due to you mentioning "reservations"... I take this as orders, if this is the case do you think that you need all the gear and what goes along with this investment for ordering if they have already made reservations/orders? Seems like there would be a much easier way to get proofs to the customers that have made reservations and from the sounds of it already ordered and just need to select the images?
If this is not the case you would need some ordering stations as I am sure Eric has described, that is one option for sure.
I have just added on site ordering taking a different approach and after much research, decided to keep it simple and very cost effective, a couple PC's with paper order forms...fill out and hand in with payment. I have one computer that has the recent game that just finished on it, this and one other has all previous days games images. I will be adding one maybe two others prior to the next event.
Not a major investment, so far used gear I already owned, easy to set up/transport/store and works, might get one/two more computers from my experience 4 is about all you need for a one rink hockey tourney.
Just another approach, if even needed.

I've done both--but I never did a team picture day with on site ordering and printing. Mostly the traditional "money envelope" , team shot, head shot....
The onsite printing for events I found hit or miss around here. Mostly medium sized events. The price to staff with decent talent (not shooters, but customer contact personnel) was too expensive. We did four or five events and my wife threatened me with divorce.

We do some onsite sales here a bit south of you, we use photoparata as our viewing platform but as far as order taking it is mostly/all done on paper preprinted 4x6 cards set out near the view stations.
Sam is supposed to be working on an integrated cart system but it has yet to be released. Paitently waiting. I know your out there Sam.
Anyway, I wish I could help you more on that end but look forward to hearing what you come up with and your results.
