Extensis Portfolio/Photo Mechanic and better archiving

OK, I'm not sure I'll get this down correctly. After almost 7 years of using
Canto Cumulus, the job change is forcing me to learn Portfolio Extensis.
At my last job we archived all pictures that ran in the paper(s), here the history has been to only archive selected outtakes. I'm attempting to combine the methods using Portfolio Extensis (their/my current arch system). Unfortunately, most of the last few years of outtakes don't have full caption/keywords attached, so finding stuff and identifying it correctly can be tricky.
Additionally, the Canon viewer utility (CVU) has been the choice for editing, so among other reasons, I have asked to upgrade to PhotoMechanic, so I (the photo staff) can use batch captioning to the outtakes to help make these images more findable.
I'm not real familiar with CVU, as my last paper was Nikon based, is there anything I should know there? Thoughts on other archiving methods I'm missing.

Probably the best I've seen regarding this product. This site also has a pretty active user forum.
I don't use CVU, and I may be mistaken, but I believe it has been replaced in Canon's software lineup by Digital Photo Professional. It's a free download. You just have to provide the serial number for your camera. For the record, I don't use DPP either. I don't think either product can write IPTC data to images.
Here's what I would suggest. YMMV:
Photo Mechanic => Adobe Camera Raw => Photoshop => Portfolio
1) Photo Mechanic for culling and captioning.
2) Adobe Camera Raw to convert if you're shooting RAW. You may also want to look into converting to DNG. If that's the case, you'll need to throw Adobe's free DNG converter into the mix. Of course, you can skip this step if you're shooting JPEG.
3) From there, take your images into Photoshop for final tweaking.
4) Add your images to a Portfolio database so you can find them later.
You'll probably get a different suggestion from everyone you ask. The most important part is to get the images properly captioned, archived and backed up.

We use IviewMediapro for all our archiving, keywording, file naming, etc.
We have one magazine that insists that we send them Portfolio catalogs, and at the end of a weekend, filing a couple thousand images in Portfolio takes HOURS. We hate it. |

Getting IPTC right in Photo Mechanic and just "importing" photos to Portfolio won't make things perfect. Portfolio needs a little bit tweaking to sort all IPTC stuff right and make database really useable. Without this, it doesn't import most of otherwise correct written IPTC. |

We do shoot Jpg's, my goal is to be able to adjust the workflow in a way that allows us to type in some notes (ID's, keywords, captions, story info, etc.) that allows to find the outttakes too, not just the pictures that end up in the paper on a daily basis. I will check out your links tomorrow at work...much thanks.

I don't like Portfolio (ver. 7 fyi) either, I don't see us being able to change right now, there is a lot in play at the paper, not sure I want to make an archive system change just yet. I've heard that DVD's are a long process with EP....Cumulus was so great!!!

| ->> Shaun it's nothing that bad, but it's not "out of box and everything works" style. You just need to assign few IPTC fields to fields of Portfolio (or whatever is right word for this in English). If you need exactly what and how to do this I can send you this in mail. It's something like 10-15min work, once when you found out why all your keywords, dates, and most of other IPTC stuff is missing with your photos in Portfolio. And yes I agree... ohhh Cumulus :) |
